A Milestones user is a Slack member within your Slack workspace. Users are only internal Slack members, meaning external or shared Slack group members will not be a Milestones user by default.
Before we dive into users, let’s make sure you have one vital checkbox ticked. For Milestones to work and make updating users easier, make sure that you have the Milestones Slack app installed first.
Once the Slack app is installed, log into your Milestones web app account and click on the Manage Users section. In this section you’ll see all your internal Slack users populate in a table. If you do not see any or all users, click the Refresh user table button and all Slack users should automatically populate in the user table.
The Milestones user table is a list of all your internal Slack members. Milestones uses Slack member profiles to seamlessly integrate your users into Milestone events. The user table provides the employee name field (determined by the Slack member profile name), a birthday date field, and a work anniversary date field. These fields are what power the Milestones events and messages.
If a user is not automatically added to the Milestones user table and requires a manual entry, click on the Add new user button in the top right-hand corner of the page. A pop-up will appear and allow you to manually add a user to your Milestones org. Make sure to add the Slack member id as this is the main connection allowing users to receive or be tagged in Slack messages.
Currently, the Milestones user date fields—Birthdate and Work anniversary date—are blank by default. These fields must contain a date value for Milestones events to work. To update a user’s date fields click the pencil icon( ✏️) at the end of the user’s row, fill in the date fields, and click save changes.
ℹ️ Coming soon: User .csv file uploads to speed up user date fields entry.
To remove a user from Milestones simply click the trashcan icon at the end of the user’s row. This will remove the user from Milestone events, including receiving Slack messages from the Milestone app and being tagged in Slack messages.
However, it is important to note that if the admin clicks the Refresh user table button then all Slack users, including manually deleted users, will repopulate the user table—without date field data. For existing users, clicking the refresh user table button will not affect the user dates.
